Fidelity Services Group is looking for a dedicated and detail-oriented Administrative Assistant to join their team in Roodepoort. The successful candidate will handle various administrative tasks, including documentation, correspondence, filing, travel arrangements, and meeting coordination. Confidentiality is paramount in all tasks.
Duties & Responsibilities:
– Coordinate and book meetings for the General Manager (GM), clients, management, and individual staff.
– Take minutes during meetings and ensure agendas and minutes are distributed promptly.
– Screen documentation and correspondence for the GM, prioritize tasks, and gather required information from departments.
– Answer and screen calls directed to the GM.
– Manage fleet repairs and purchase orders.
– Provide telephonic assistance with issues or complaints reaching the GM.
– Arrange travel and accommodation within budget for the GM and other managers.
– Assist with ad-hoc functions as required by the Head of Department (HOD).
– Schedule appointments for staff with the GM.
– Prepare commission claims for review and sign-off.
– Perform payroll administration, including leave forms, applications, reconciliations, and related tasks.
– Support the sales force with general operations to achieve team objectives.
– Handle general administrative duties for Fidelity SecureDrive (FSD) staff.
– Respond to high volumes of emails.
– Maintain knowledge of Fidelity SecureDrive’s products and services and stay updated with changes.
– Assist the team with various ad-hoc tasks.
Minimum Qualifications and Experience:
– Matric / Grade 12
– Excellent verbal and written communication skills
– Proficiency in MS Office, Excel, and PowerPoint
– Strong interpersonal skills
– High organizational skills and ability to manage multiple projects simultaneously
